Meeting Reminders
TriLuna reminds participants before every scheduled meeting. You choose when (for example 1 day, 1 hour or 5 minutes before) and how (email, text or both). Video reminders include the link to join.
What’s sent if you change nothing
| Meeting type | Reminder |
|---|---|
| 📹 Video | An email and a text 1 hour before. Both include the meeting link. |
| 📞 Phone | A text 1 hour before. |
The 1-hour text also asks “Reply YES if you’d like a 10-minute reminder.” Anyone who replies YES gets one more text 10 minutes before the meeting.
Change the reminders for one meeting
- Open the meeting from My Meetings and press Edit.
- Under Reminders, untick Use the default reminders.
- For each reminder, choose how long before the meeting it goes out, then tick Email, Text or both.
- Press Add reminder to add another. You can have up to five. Press ✕ to remove one.
- Press Save.
The Reminders line under Meeting Details shows what will be sent.
To send no reminders for a meeting, untick Use the default reminders and remove every reminder.
Set the default for a group
- Open the group from My Groups and press Edit Group.
- Under Reminders, untick Use TriLuna’s default reminders and set up the reminders you want.
- Press Save.
Every meeting in the group uses these reminders, including meetings created by a recurring schedule, unless you change the reminders on a particular meeting.
Who gets reminded
- Email reminders go to every participant who has an email address. The person who scheduled the meeting gets their own reminder instead (see below).
- Text reminders go to every participant who has a phone number. They’re sent from the group’s phone number, so a group without a phone number only sends email reminders.
- If the group has Review SMS messages before they go out turned on, text reminders are saved as drafts for you to review first. See SMS Sending Mode.
- Inactive groups send no reminders. See Deactivating a Group.
What the reminder says
Every reminder, and the first invitation email, names the person who scheduled the meeting. For example: “Your Book Club video meeting with Sam Lee starts in about an hour.” That way a participant knows who it’s from even if they don’t recognize the group’s name.
- Video meetings: the meeting title, the time in the participant’s own time zone, and a link to the meeting page. The page shows a countdown, and its Join button turns on when the meeting starts. No account or app is needed.
- Phone meetings: the meeting title and time. TriLuna calls each participant when the meeting starts, so the email reminder tells them to keep their phone nearby.
Reminders for the host
Guests can’t join a video meeting until the host starts it. So for video meetings, the person who scheduled it, and the group’s owner if that’s someone else, also get each email reminder. Theirs comes as an email and a notification in the TriLuna app. It says how many participants are confirmed and has a Start the meeting button.
When people are waiting for the host
If guests are on the meeting page and the host hasn’t started the meeting:
- 3 minutes after the start time, TriLuna tells the host who is waiting, by app notification and email. If the host is also a member of the group with a phone number, they get a text from the group’s number too, unless the group reviews texts before they go out.
- The waiting page tells guests that the host has been told, and how long ago.
- 10 minutes after the start time, the host is told again.
- After that, guests can press Remind the host, with an optional note. They can do this once every 5 minutes, up to 3 times.
To turn this off for a group, open the group, press Edit, and untick Remind the host, and tell them when people are waiting. It’s on for new and existing groups.
Frequently asked questions
A guest isn’t getting reminders. Make sure they’re a participant on the meeting, with an email address for email reminders or a phone number for text reminders. Open the meeting, press Edit, and add them or fill in their details.
I moved the meeting to a new time. Will people be reminded again? Yes. Reminders follow the new time, even if some already went out for the old one.
I added a reminder for 5 minutes before, but the meeting starts in 3 minutes. A reminder only goes out close to its time. If that moment has already passed when you save, that reminder is skipped. Later reminders still go out.
Which times can I choose? 5, 10, 15 or 30 minutes before, 1 or 2 hours before, or 1 day before.
