Call Notifications and the Morning Briefing
By default, TriLuna emails, texts and pushes you after every incoming call on your number. If that's too many, switch the number to morning briefing only: calls stop notifying you one by one, and anything you need to do becomes a task in your morning briefing email. You can also choose for yourself how you hear about each kind of call.
What you get by default
When someone calls your TriLuna number and talks to your assistant, everyone with access to the number gets an email with the call summary and transcript. People with a verified mobile number or the TriLuna app can also get a text or a push notification. It’s how you find out about a call as it happens, the way a voicemail would.
Some calls never notify anyone: calls you made yourself, calls where the caller hung up without speaking, and calls TriLuna recognizes as spam or robocalls.
Morning briefing only
- Open My Phone Numbers and click the number.
- Find Call notifications: morning briefing only and turn it on.
From then on, incoming calls on that number:
- send no email, text or push when they end
- become tasks when there’s something for you to do, for example the caller asked you to call them back, left a message for you, or wants to go ahead. A clear sales lead is a High priority task, so it’s at the top of your list.
- show up in your morning briefing email, which lists your open tasks once a day, most important first
The tasks go to the number’s owner. If the same person calls again about the same thing, TriLuna doesn’t add a duplicate task.
Every call is still on your Conversations page with its summary and transcript, whether or not it made a task.
To go back to an email for every call, turn the setting off. You need to own the number, or have manage access to it, to change it.
With this setting on, the morning briefing email is how you hear about your calls. Turn it on under Tasks → Settings → Morning briefing email, and set the time you want it. See Daily Briefing settings.
Choose how you’re told about calls
Each person can choose how they hear about calls, separately for three kinds of call:
| Kind of call | What it covers |
|---|---|
| Campaign calls | Calls your campaigns make |
| Scheduled callbacks | Callbacks your assistant scheduled, including callbacks booked from a campaign call |
| Inbound calls | Calls to your TriLuna numbers |
- Open My Settings (your name menu › My Settings).
- Find Call notifications.
- For each kind of call, pick one:
- Default: what happens today (see below).
- Morning briefing only: no message per call. Anything to do shows up in your morning briefing email.
- Tell me right away: then tick Email, Text, Push, or any mix.
Your choice is saved straight away and only affects you. Other people on the same number keep their own choice.
What Default means:
- Campaign calls and scheduled callbacks: no message per call. Follow-ups become tasks in your morning briefing.
- Inbound calls: follows the number’s setting. An email, text and push for every call, unless the number is set to morning briefing only (above).
With Tell me right away:
- Campaign calls notify you only when a call needs a follow-up, for example the contact asked to be called back or is interested. You get it as soon as TriLuna has reviewed the call, usually a few minutes after it ends.
- Scheduled callbacks notify you each time a callback call is made.
- Inbound calls notify you when the call ends.
Texts go to the verified Canadian mobile number on your profile. Without one, the Text box is greyed out. Push needs the TriLuna app signed in on your phone.
Tasks are made whatever you choose, so your task list and morning briefing don’t change. For inbound calls, tasks go to the number’s owner.
Calls you made yourself, calls where the caller hung up without speaking, and spam calls still notify no one.
Callbacks your assistant scheduled
When someone on a call asks to be called back at a particular time, your assistant can schedule that callback for you (see Automatic callbacks). By default, those callbacks send no email per call, whichever setting your number has:
- When the callback is booked, you get a task due at the callback time.
- When the callback call itself is made, anything you need to do afterwards becomes a task too.
Both appear in your morning briefing email. Campaign calls work the same way; see Campaign Follow-up Tasks. To get an email, text or push when a callback is made, choose it in My Settings.
