Tasks and Stale Tasks

All your tasks in one place
The Tasks page at triluna.app/tasks lists every task assigned to you, including tasks your assistants created during calls. If nobody edits or comments on a task for 30 days, it moves to Stale so it stops cluttering your list.

Opening the Tasks page

Go to triluna.app/tasks, or click the Tasks card on your Home page.

The tabs at the top filter the list:

  • Active: tasks that are Pending or In progress.
  • Stale: open tasks nobody has edited or commented on for 30 days.
  • Completed: tasks you’ve ticked off.
  • All: everything, including cancelled tasks.

Each tab shows how many tasks it holds. You can link straight to a tab, for example triluna.app/tasks?status=stale.

Working with a task

Click a task’s title to open it on its own page, showing just that task. There you can:

  • Tick it done, or change its status to Pending, In progress, Completed, Cancelled or Stale.
  • Read and add comments, for notes like “left a voicemail” or “waiting on a quote”.
  • Change its priority.
  • Open the call the task came from, if an assistant created it during a call.

Each task’s page has its own link, for example triluna.app/tasks/task_8F3A21C9D0. The links in your morning briefing email go straight to it. You can:

  • Share or bookmark it. Copy the address, or right-click the task’s title in the list and choose Copy link address. The link only opens for the person the task is assigned to. Anyone else sees “That task isn’t in your list”.
  • Open it in a new tab with Ctrl-click (Cmd-click on a Mac) or a middle-click.
  • Go back to the list with All tasks at the top of the page, or your browser’s Back button.

If you’re signed out, TriLuna asks you to sign in and then takes you to the task.

Changing a task’s priority

Click a task’s priority label (low, normal or high) and pick Low, Normal or High. The label is color-coded: High is orange, Normal is gray and Low is yellow, so high-priority tasks stand out at a glance. It saves straight away and the list re-sorts, so high-priority tasks stay at the top. Press Esc or click elsewhere to close the menu without changing anything. Completed tasks keep their priority but can’t be changed.

Marking a task done

Tick the checkbox to mark a task done. It’s saved right away, and for about 5 seconds the task stays where it is, ticked and crossed out, with a Task completed · Undo message at the bottom of the screen. After that it moves to Completed.

Ticked the wrong one? Click Undo within those 5 seconds and the task goes back exactly as it was, Pending or In progress. Clicking the checkbox again while the message is showing does the same.

To reopen a task later, untick it on the Completed tab. It works the same way, with a Task reopened · Undo message.

When a task goes stale

A task becomes Stale when it is still open (Pending or In progress) and nothing has happened to it for 30 days. That means no edit, no status change, no comment and no reassignment. Just opening a task doesn’t count.

Stale tasks:

  • are left out of the Active list,
  • are left out of your Daily Briefing call and email, and
  • are not included in task reminder calls.

They aren’t deleted. They stay on the Stale tab until you deal with them.

Bringing a stale task back

Do anything to the task: add a comment, edit it, change its status, or click Bring back. It returns to the status it had before it went stale (Pending or In progress), and the 30-day clock starts again.

If the task no longer matters, mark it Completed or Cancelled instead.

Daily Briefing settings

The Settings tab on the Tasks page holds your Daily Briefing: a morning call, a morning email, or both, with your active tasks, most important first. Stale tasks are skipped. You can also go straight to triluna.app/tasks?view=settings.

  1. Choose the AI Agent that will call you.
  2. Turn on Morning briefing call, Morning briefing email, or both. Each has its own switch.
  3. Set the Briefing time and your Timezone. The call and the email both go out at this time. The timezone list is the same one used when you schedule a meeting. If you’re in British Columbia, pick Vancouver, BC / Phoenix, AZ, which stays on UTC−7 all year.
  4. If the call is on, choose how your assistant reaches you under Ring me on:
    • TriLuna app (the default): your assistant rings the TriLuna app on your iPhone and you answer it like a phone call, including from the lock screen. No phone number is dialled, so the briefing can’t be picked up by voicemail or by an AI receptionist on a forwarded line. You need the latest version of the iPhone app. Android support is coming soon.
    • Phone call: your assistant calls a number you choose under Call me at.

If you’re in a meeting or on another call at briefing time, your assistant waits and tries again once you’re free, for up to two hours.

Morning briefing email

The email goes to your TriLuna account email address. It’s kept short on purpose, so you can open it, click the next task and get to work.

  • It lists your top 10 tasks: the 10 most important of your active tasks (Pending and In progress). These are the same 10 the call reads out. Stale, completed and cancelled tasks are left out.
  • Tasks are grouped by priority: Urgent, High, Normal, then Low. A priority with no tasks is left out. Within each group, the earliest due date comes first and tasks with no due date come last. Overdue tasks are marked in red.
  • Click a task’s title to open that task on the Tasks page. If you’re signed out, TriLuna asks you to sign in and then takes you to the task. Links in older briefing emails still work.
  • View all tasks at the bottom opens the full Tasks page with the rest of your tasks.

If you have no active tasks, the email says so and still links to your Tasks page.

The email isn’t held back when you’re busy; it arrives at the briefing time. To stop it, turn off Morning briefing email. The call isn’t affected.
