Campaign Follow-up Tasks
When someone on a campaign call asks you to call them back, or is clearly interested, TriLuna adds a task to your task list after the call. You don't get an email for each call. Instead, your morning briefing email lists these tasks once a day.
What creates a task
After each campaign call ends, TriLuna reviews the conversation in the background. Your assistant doesn’t do anything differently during the call, and the task usually appears within a few minutes. TriLuna adds a task when the person on the call:
- Asked for a callback at a particular time, for example “I’m in a meeting, try me Monday morning”. TriLuna schedules that callback for you (see Automatic callbacks) and adds a task due at that time.
- Asked to be called back without giving a time, for example “The owner’s out, call back later”, or left you something else to follow up on, such as a referral. You get a task due on the day of the call, so you can decide when to try again.
- Is a hot lead, meaning they showed clear interest: they asked about pricing or availability, wanted a meeting, viewing or quote, asked for a proposal, said they want to go ahead, or asked for a person to follow up. These tasks are High priority, so they’re at the top of your list. You get one even if the contact already has a callback scheduled.
If someone fits more than one of these, you still get one task. It’s High priority if they’re a hot lead. If a contact already has a callback scheduled and asks for another, TriLuna keeps the one you have rather than booking a second.
No task is created when the call reached voicemail, the person said they weren’t interested or asked not to be called, or nothing needed following up.
No email for each call
Campaign calls don’t send you an email when they end, and neither do follow-ups, hot leads included. Everything that needs your attention becomes a task, and your morning briefing email lists your tasks once a day, most important first. To get that email, turn it on as described in Get your tasks every morning.
You can still see every task as soon as it’s created on your Tasks page.
Who gets the task
The task goes to the campaign owner, the person who created the campaign. That’s true even if the campaign uses an assistant that belongs to someone else.
Where to find your tasks
Your tasks are on the Tasks page at triluna.app/tasks. Click the Tasks card on your Home page to get there. Each task title tells you who to contact, and when if a callback is booked, for example:
- Call back Sunrise Bakery (+16045550142) — Mon Oct 12, 10:00 AM PDT · Spring outreach
- Follow up: Sunrise Bakery (+16045550142) (callback requested) · Spring outreach
- Hot lead: Sunrise Bakery (+16045550142) · Spring outreach
The callback time is in the contact’s own timezone, which is worked out from their phone number. Click a task to see more. The first line shows the outcome: Callback request, Hot lead, Callback request + hot lead, or Follow-up followed by what the call needs, for example Follow-up (callback requested). Below it are what they said, why it was marked as a hot lead, and a reference to the conversation.
When you’ve followed up, tick the task’s checkbox to mark it done. You have about 5 seconds to Undo if you ticked the wrong one. You can also change a task’s priority from its priority label, for example to move a lead that cooled off down to Normal. See Tasks and Stale Tasks for both.
From a call to its task, and back
When a campaign call creates a task for you, the call’s page shows it in the Follow-up tasks box with the outcome, the task, its due date and whether it’s done. You can add your own follow-ups there too. See Follow-up tasks from a call. Click Open task to jump to it on the Tasks page, where it’s highlighted.
Going the other way, click a task to expand it, then click View call to open the conversation it came from.
Only the person the task is assigned to sees it. Others who can open the same call, such as the owner of the assistant, don’t see it.
Get your tasks every morning
The Daily Briefing sends you your open tasks each morning, including these follow-ups, most important first. You can get it as an email, a call, or both.
- Open the Tasks page and click the Settings tab.
- Turn on Morning briefing email, Morning briefing call, or both.
- Set the Briefing time and your Timezone. The email and the call both go out at this time.
- If the call is on, choose the AI Agent that will call you and how it reaches you under Ring me on.
The email lists your 10 most important active tasks, grouped by priority, with a View all tasks link for the rest. See Daily Briefing settings for details.
For the briefing call, choose an assistant that doesn't run your campaigns or answer your business line. During the briefing call, that assistant is set up to talk about your tasks, so it isn't the right one to be calling contacts or answering customers at the same moment.
If you don’t turn on the briefing, your tasks still appear on the Tasks page. You just won’t get the morning email or call.
Good to know
- One task per call. The same call never creates a task twice.
- Changing the callback. To move or cancel the callback itself, use Reschedule or Cancel callback on the contact’s Activity page (see Retrying a Campaign Contact). The task doesn’t change automatically, so update or close it too.
- Every task TriLuna creates for you is recorded against your account.
