Engagements — Requirements Gathering & Proposals
An engagement is a prospect or client project that an AI agent helps you scope. The agent joins your discovery call (by phone or video), captures requirements as you talk, and afterward drafts a project proposal and emails it to you — along with the questions it still needs answered. You finalize the proposal by calling the agent back and answering those questions out loud.
How it works, start to finish
- You run a discovery call with a prospect, with your requirements agent on the line.
- During the call, the agent captures each concrete requirement (scope, timeline, budget, integrations, constraints) into the engagement.
- After the prospect hangs up, the agent generates a structured proposal and emails it to you — including its open clarifying questions.
- You refine it by calling the agent back and answering those questions; the agent saves a new proposal version.
- You review and forward the proposal from the Engagements page when you’re happy with it.
Nothing is ever sent to the prospect automatically — every proposal is drafted to you first.
The Engagements page
Open Engagements from the home screen. You’ll see:
- A list of your engagements, each showing the prospect, how many requirements have been captured, and the latest proposal version.
- An engagement detail page with three areas:
- Prospect info — name, company, a one-line summary, and a rolling overview of where things stand.
- Requirements — everything captured, which you can add to, re-prioritize (must / should / could / won’t), mark clarified or resolved, or delete.
- Proposal — each generated version, its open questions, and an editable Markdown body. Use the version dropdown to compare drafts.
You can also start an engagement manually here (click New Engagement) if you want to seed one before a call.
Facilitation Level — how active the agent is on a call
| Level | Name | What the agent does |
|---|---|---|
| 1 | None | Silent note-taker. Only speaks when you address it directly; otherwise just captures everything. |
| 2 | Light | Mostly listens; asks the occasional clarifying question. |
| 3 | Balanced (default) | Actively gathers requirements — asks follow-ups and confirms understanding — without dominating. |
| 4 | Active | Proactively probes scope, timeline, budget, and constraints; surfaces gaps. |
| 5 | Strict | Runs the session: enforces an agenda, redirects tangents, insists on concrete answers. |
Setting it: open the agent’s settings page and drag the Facilitation Level slider. The value is the agent’s default for every call.
Overriding it for one call: just tell the agent at any point — for example “today, just take notes” or “go ahead and run the meeting.” It will follow that for the rest of the call without you changing the slider.
The post-call proposal email
When the prospect leaves the call, you’ll receive an email with:
- The proposal draft in plain text — Overview, Scope, Approach / Phases, Deliverables, Timeline, Assumptions, Pricing (a placeholder if pricing wasn’t discussed), and Next Steps.
- The agent’s open questions — the specific things it needs you to decide before the proposal is ready to send (for example, “Host on the client’s AWS or ours?” or “Is preserving thread links in scope?”).
The same draft is saved on the Engagements page, where you can edit it directly.
Refining the proposal by calling the agent back
To finalize a proposal, call the agent back and tell it which engagement you’re discussing. It will pull up the prospect, the captured requirements, and the latest draft with its open questions, then walk through them with you. As you answer, it saves a new proposal version — so you always have the history of how the draft evolved.
You can also edit any proposal version yourself on the Engagements page and save it there.
Phone and video
Requirements agents work on both phone calls and video meetings. The Facilitation Level, requirement capture, and post-call proposal behave the same way on either surface.
